Job Summary Statement

To assist the organisation by maintaining and managing all incoming orders via the orders mailbox. Ensuring that all orders are logged, followed up and processed in a timeous manner, as well as to ensure that daily operations meet and exceed daily performance expectations and to increase customer satisfaction and the company’s overall market share.

Minimum Requirements

Grade 12 / Matric
Administrative Qualification (advantageous)
2 Years Sales and Purchasing Administration (other work that prepared you for this job)

Duties & Responsibilities

Maintain and manage all incoming orders via the orders mailbox. Ensuring that all orders are logged, followed up and processed in a timeous manner.
Administration of customer portals.
Maintain and improve internal and external customer and supplier relationships.
Maintain records, report relevant information, and prepare any necessary documentation.
Interfacing with all areas of business in technical and customer query resolution.
Perform other duties and responsibilities in the course and scope of your employment with the organisation and undertake other work within your abilities at the request of the organisation. Follow established departmental policies, procedures and objectives, assuring continuous quality improvement.

Ensure documentation received from the sales department is complete and accurate, reflecting customer requirements before proceeding with the processing the order.
Accurate and timeous processing of customer orders, local and overseas purchase orders on ERP system as per customer requirement and business standard.
Purchase orders loaded on system observing all Emerson requirements. (e.g. Tool kit, Discount requests, Quotations, Fisher First 2, product lead-time)
Generation of production orders and compilation of supporting documentation as per business requirements.
Order acknowledgement generated and distributed to customer and sales department. (internal and external consultant)
Ensure basic maintenance standards and compliance with health and safety regulations.

Knowledge Skills & Abilities

MS Office Proficiency
Quality assurance with regards to work delivery
Ability to organise, preserve and provide access to information
Good understanding of sales and purchase order placement process
